Workflow automation

Stop losing leads to slow follow-up.

A missed call, an unanswered form or a reply that waits until evening can cost you the job. We connect your phone, forms and inbox so every inquiry gets a reply straight away, and anything that needs a decision goes to the right person.

What can workflow automation do for a small business?

It connects the tools you already use, so leads get answered, bookings get confirmed and follow-ups go out without anyone copying data by hand, and a person approves anything that matters. It runs on the Basic plan at $499 a month per site; a build that includes automation starts at $4,000.

How the work runs

From copy-and-paste busywork to rules that run, each with an owner.

Every engagement follows the same route: what is going wrong, what we build to change it, where a rule or a person decides, and what you have at the end.

  1. The friction

The same steps, by hand, every day

Leads arrive in three places, details get retyped, and the follow-up waits on whoever remembers.

  2. What we build

    Explicit rules in your tools

Repeatable steps connected with written rules and checks, inside the tools your team already uses.

  3. The boundary

The rule decides what runs alone

Routine, low-risk steps run on their own. Anything outside the rules stops and waits for its owner.

  4. The outcome

Work that moves, with a name on it

Every automation has a person accountable for it, and a record of each job it has run.

The pipeline

Every step, end to end.

The whole path a lead takes, from the moment it arrives to the moment somebody picks up.

Your lead pipeline

A lead arrives

Any time

Someone fills in your contact form, calls, or messages you on Google or Facebook

1

A text goes out straight away

Straight away

An automatic text, in your words, confirms you have the inquiry and says what happens next

2

A follow-up email

Later that day

An email with your services, your prices and a link to book

3

They book a time

When they are ready

The customer picks a slot on your calendar, without a round of phone tag

4

Logged, and your team is told

Every time

The lead is logged in your CRM, and the person who owns it gets a Slack or text alert with the details

5

Every lead has a next step and an owner.

It runs around the clock. Anything that doesn't fit the rules stops and waits for the person who owns it.

What we build for you

Six automations we set up for local businesses

Each one takes over a step your team does by hand today. Each one also has a person who owns it.

Missed-call text back

When a call goes unanswered, the caller gets a text straight away saying who you are, that you'll call back, and how to book. You write the message; we set it up.

Sent on every missed call

Lead capture and first reply

Website forms, Google Business Profile messages and Facebook or Instagram messages land in one inbox. Each new lead gets a reply straight away confirming you have it and saying what happens next.

One inbox for every channel

Appointment confirmations

When a customer books, they get a confirmation text, a reminder the day before and a follow-up afterwards. Your team sees every booking and can change or cancel it.

Confirm, remind, follow up

Review requests

When a job is marked complete, the customer gets a message asking for a Google review. Every customer gets the same request; we never screen out unhappy customers before asking.

The same request to every customer

Follow-up sequences

Leads who haven't booked get a short series of texts and emails over a couple of weeks, on a schedule you approve. Anyone who replies or books drops out of the sequence.

Stops as soon as they reply

CRM logging

Every lead, message and job is logged in your CRM, so the history sits in one place instead of in a spreadsheet or someone's memory.

Golden Gate Trans: quotes that stopped waiting in an inbox

Golden Gate Trans hauls asphalt, dirt, base rock and aggregate around the Bay Area. Quote requests used to arrive by email and wait until someone was free to read them. The rebuilt site gives a ballpark estimate before anyone fills in a form, and routes every request automatically.

“They redesigned our site, set up our marketing, and built automations that handle lead follow-up for us. We stopped losing jobs to slow response time. Worth every penny.”

Questions

Automation questions

I'm not tech-savvy. Will I be able to use this?

Yes. We build, configure and maintain the automations. Your team works in the tools they already use, and anything outside the rules lands with a named person to decide.

What happens if an automation breaks?

We monitor every automation and get an alert when a run fails. We fix it, and we tell you what happened and what we changed.

Do I need a CRM already?

No. If you don't have one, we set one up as part of onboarding. If you already use one, such as HubSpot or Salesforce, we connect to it.

How long does setup take?

Simple automations, like missed-call text back and review requests, are usually the first things we switch on. Anything that connects several systems gets a dated schedule before work starts.

What does it cost?

Automation runs on our Basic plan, which includes digital marketing and AI automation: $499/mo per site. A build that includes the website, marketing and AI automation starts at $4,000. We quote the setup, fixed, after a short call about your tools.

Can automations replace my staff?

No. They take over the repetitive follow-up so your staff can spend their time on customers and the work itself. A person still owns every automation and handles the exceptions.
