Refunds & cancellation
On this page
In short: Cancel a monthly plan any time and it stops at the end of the period you have paid for — we do not bill you again and we do not hold you to a term. Build work is quoted in stages and you pay for stages that were done. Whatever has been built is yours either way.
1. Monthly plans
Monthly plans run month to month. There is no minimum term and no cancellation fee.
Cancel by emailing admin@inericasystems.com or by telling us on the phone. Your plan runs to the end of the period you have already paid for, and you are not billed again. We do not refund a part-used month, because the work for that month has generally already been done.
If we bill you after you have cancelled, that is our mistake and we refund it in full. Tell us and it is handled the same day.
2. Build projects
Build work is quoted as a fixed price before anything starts, and invoiced in stages. If you stop a project part-way:
- You pay for the stages that were completed.
- Any stage not started is not charged, and is refunded if it was already paid.
- A stage in progress is settled at the proportion actually done. We will show you what that is.
You keep what was built. Source code, database, deployment documentation — everything finished to that point is handed over. We do not hold work hostage over a dispute about the next stage.
3. Deposits
Where a project takes a deposit, the deposit reserves the schedule and covers the discovery work that goes into scoping. If you cancel before that work has started, it is refunded. Once discovery has been done, the deposit is applied to it and the remainder is refunded.
4. Advertising spend
Where we run advertising for you, the ad spend is yours and goes directly to the platform — Google or Meta — from your own account. We never hold it, and we cannot refund it, because it never reaches us. Only our management fee is ours, and that follows the monthly plan rules above.
5. Third-party costs
Domains, hosting, licenses and API usage bought on your behalf are passed through at cost and are refundable only to the extent the supplier refunds them. We will tell you before buying anything in this category, and you are welcome to buy it yourself instead.
6. If the work is not right
Tell us. Before a build goes live you approve it, and revisions within the agreed scope are not extra. If something we shipped is broken, we fix it — that is not a refund question, it is a defect, and it does not come out of your budget.
If we genuinely cannot deliver what was quoted, we say so and refund the part that was not delivered. We would rather do that than argue.
7. If we end it
We may end an engagement — for non-payment, or for being asked to do something we are not willing to do. If we do, you are refunded for anything paid and not delivered, and you still get the handover described in our terms of service.
8. How refunds are paid
Refunds go back to the original payment method, normally within five business days of being agreed. Card refunds can take a further few days to appear, which is your bank's timing rather than ours.
9. Before raising a chargeback
Please email or ring first. A chargeback takes weeks and tells us nothing about what went wrong; a phone call usually resolves it the same day. We have never refused to talk about an invoice.
